Networking Know-How: How to Get Through to the Busiest of People When you are job hunting, sometimes the most frustrating part is just getting your foot through the door to let the right people know that you are out there and available for work. Companies can be like members-only clubs; they tend to be a little distrustful of cold callers and most executives advise their assistants to run interference for them on the phone so they do not get stuck having a protracted conversation with someone they just aren’t interested in doing business with. The thing is that to get an interview, these people can be the very same people you need to talk to. How do you get these busy people to clear some time off in their busy schedule to speak to you? First things first – you have to get the right attitude. If you want busy people to make time to talk to you, you have to present yourself in a way that makes them feel like you are worth the time investment. The trick here is that you have to do this by phone, and often, you have to first convince an operator or personal assistant that your call is one worth putting through to the boss. Your phone etiquette and vocal confidence will be the key here. Consider you basic phone manners first. Instead of launching right into what you want, respond to the greeting of the person who answers the phone with a hello of your own. Animate your voice and always remember that simply saying “please” and “thank you” can go a long way. Be the kind of caller that you would want to talk to if your job was answering the phone all day. People will respond to your positive attitude with a positive attitude of their own. Next, consider your confidence level on the phone. Do you tend to get tongue-tied and stumble over your words? That kind of delivery from you will set all the warning bells ringing on the other end of the phone, and you will find the person with whom you wish to speak always “out of the office.” Instead, work on sounding like you are confident that it is a forgone conclusion that you will get to speak that busy person you want to talk to. Be confident that what you have to say is something that is worth hearing. It may help to write out a framework of what you will say and practice a few times so you sound relaxed and composed when you make that call. Once your attitude is right to make the call, you can then employ a few tricks of the trade for getting through to those busy people. Instead of giving away too much up front, start your call by asking if the person with whom you need to speak is in. If the answer is yes, then you can remove on potential “excuse” for not putting your call through. If your call can’t be taken at that time, skip the message. Let the PA or operator know that you will call back again. That way you have a legitimate reason to keep calling. Of course, you might have to keep calling and calling, and that assistant might start knowing the sound of your voice. If you keep speaking to the same person, it’s time to open up with some person details. Let them know your name, why you’re calling, and if someone referred you, who that person is. Developing that personal relationship can help you get your call through to the boss. Last but not least, don’t give up. Busy people are, well, busy, and not necessarily avoiding your call. Persistence pays off, so keep on calling until you get through.

In writing for a business there are a few elements you must know. Your knowledge or lack there of these elements can make or break your business writing career. Your goal for business writing is to strive for clarity and precision, yet not be too vague or elaborate. Examples of business writing would be emails, business plans, brochures, and many more. Virtually anything writings that pertain to a business are classified as business writing. When people read business writings they are not only looking for what happened and why, but how you are handling the situation at hand. Organize your thoughts. The more organized you are the quicker and easier it will be for you to put your words in a decisive and orderly style. Your writing should be grammatically correct along with the proper usage of capitalization and punctuation. These errors can cause misinterpretations amongst the readers of your business writings. An example of correct and incorrect punctuations would be “We are missing the actress Jane.” Or “We are missing the actress, Jane.” While both are correct, they mean two entirely different things. Business writing is backwards or upside down from other writings. You start with the ending and then give a brief synopsis on how you got to that point. You may include other avenues that were considered and why they were not chosen. Have a positive attitude. Even if you are conveying a message that has on outcome other than optimal a positive tone will bring a much better response. Tell your readers what good came about from the outcome. Tell them what you can do with these results. For example a non-profit agency held a fundraiser. They were hoping to bring in $25,000 for building repairs and play ground equipment. Unfortunately, they only got $15,000. Positive tone writing would be “Our fundraiser was successful. We can now begin building repairs.” Or “The new playground equipment will be delivered tomorrow due to our successful fundraiser.” Even though it was not as much of a success as you would have liked, by keeping a positive attitude and showing people what can be done will promote a positive attitude in the future. A negative tone might be something like “Since our fundraiser was not as successful as we had hoped, we will have to choose between playground equipment and builder repairs.” This approach could be unfavorable to future fundraisers because it seems as though you are unthankful for what you did get. Being positive shows your appreciation for the hard work or donations that you have received. Don’t play the blame game. Even if you know whose fault it is a deal fell through there is no need to start a mud-flinging contest. Surely, the person responsible is already aware of the situation and chances are so is everyone else. Down the line they are not going to remember whose fault it was, but they will remember who was naming names. This is not only very unprofessional, it is malicious and that is not how you would like to be talked about. Finally using an active voice will promote a better reception to your business writing than a passive one. An active voice shows that you are in control and are aware of how or why things are going to happen.

Most Online writing labs are only available to the students of the offering college or university, but there are a few that are open to the general public. The online writing labs are beneficial to both the writer in need of the help and the person helping them. The helper or tutors are usually graduate students working for their degree they benefit from the additional teaching practice. The students are getting proofreading, critiquing, and feedback along with any help they may need. The online writing labs were created by the schools to offer extra help to their students in their writing. They offer support in most areas of writing including choosing a topic, grammar help, revising a draft, and editing. They provide tutored help in these areas to students and faculty. Many online writing labs are set up to help you in three ways; online self help, email support, and one on one personal support. The online self help applications are available 24 hours a day. For the email support you email in your paper or project and you will receive a response with in 24 hours. The one on one personal support is a great way for students to learn how to do their own proofreading and editing. This site definitely deserves to be bookmarked on your computer if you are a serious writer, a student, a teacher, it really doesn’t matter. The University of Richmond has a program they call Writing Center. Although not as complex as Perdue’s they offer online self help topics for writers. Starting with the writing process to grammar and punctuation, it is another option for you. The University of Wisconsin has the Writing Center that offers some help with the basics. One thing to keep in mind that many of the universities and colleges that offer these many take them offline in between semesters and on breaks. If you are a student, many of you have an online writing lab available at your school or one that reciprocates with your school. Though the general public have self help online help available to them, chances are your school will offer some sort of one on one help to guide you through your work.
